WHAT IS A COMPANY'S LETTERHEAD AND THE LETTERHEAD LAWS

Updated: Feb 14, 2023

Firms incorporated under the 2014 Companies Act.

Every business must paint or permanently affix its name in prominent, legible characters outside of any office or location where it conducts business. This must be done in a conspicuous area. All notices and other official publications of the firm, as well as all bills of exchange, promissory notes, endorsements, checks, and orders ostensibly signed by or on behalf of the company, as well as all invoices, receipts, and letters of credit, must bear the company name in legible characters.

What are company letterhead laws?

Business correspondence must always be done on corporate letterhead. It conveys your brand's ideals and values and provides the receiver with the necessary information. After all, you want to show yourself in the best possible light as a respectable potential supplier or business partner, right?

Here are five components that a corporate letterhead should include to seem polished.

  • The name of your business.

  • The registered address is the address where your company is located.

  • The location of any additional company facilities, excluding lodging facilities.

  • The company registration number.

NAME OF YOUR COMPANY

The type of business you run will determine how you list your name. If you are a solo proprietor, you must include both your name and company name. If your company is a partnership, you must mention EVERY partner and the formal business name.

There can be too many partners for certain businesses to list. Provide a website address where all partners can be discovered in this situation. This belongs next to your logo in the header or footer.

THE PLACE AND ADDRESS IN WHICH YOUR COMPANY IS LOCATED

Your registered physical address and, if applicable, your postal address should be printed on your personalised letterhead.

NUMBER OF COMPANY REGISTRATION

If you are conducting business as a limited company, you must be concerned about adding the company registration number. You don't need to enter the directors' names if this is you.

ANY COMPANY LOCATION'S ADDRESS (UNLESS IT IS LIVING ACCOMMODATIONS)

You can also list any additional business locations you might have. If there are too many for the firm letterhead, provide a website address where customers can see all service locations.

What should be written on your company letterhead?

The precise breakdown of how this relates to various business kinds is as follows:

A business owned by a lone trader: As a sole trader, you can use your own name or a separate company name. If you select the latter option, your business address and first and last name must appear on all letterheads and order forms.

Partnership Business: If your company is a partnership, all letterheads, receipts, and invoices must list all partners' names as well as the complete address of the main office. If there are multiple partners, it is permissible to mention the location of a list of those partners rather than posting all of their names and contact information.

Limited Liability Company: If your business operates as a limited company, the following information must be on the letterhead:

  • Licensed business name

  • Number of registration and location of registration

  • The place of business and registered address of the company
